AGREEMENT: RENTAL TERMS & CONDITIONS
This agreement is prepared by our “Company" (1149517 B.C. LTD., also known as “Island RV Rentals” and “All Island RV”) in affiliation with Justgo Digital Media Group.
DRIVERS
The vehicle may only be driven by an authorized driver, 23 years of age or over. An authorized driver is the renter and any additional person(s) who appears at the time of rental, provides their drivers license & has agreed to the Rental Terms & Conditions. All authorized drivers must satisfy our age requirements, have a valid driver's license, provide a valid and current physical street address, a major credit card in their own name, and fulfill our other qualifications. The unit will not be operated by anyone: who has fraudulently secured the rental by giving a fictitious name, false address, a false or invalid driver’s license or credit card; those whose driver’s license becomes invalid; who has obtained the keys without permission; or who misrepresents or withholds facts during the the booking process or rental. Note: all forms of required identification must include a name and address and must match the name and address on the renter's driver's license. Our company reserves the right to refuse service. Please ensure you are able to drive the vehicle you are reserving i.e. if it is manual (standard) shift.
USE
The vehicle shall not be driven by anyone not pre-approved as an authorized driver & shall not be used to carry passengers more than the number of seat belts provided by the manufacturer. The vehicle shall not be driven by any person impaired or under the influence using alcohol, narcotics, intoxicants, or drugs, used with or without a prescription. The vehicle shall not be loaded more than the vehicle’s Gross Vehicle Weight Rating. The pop-top sleeping bunks shall not be overloaded either. Renter agrees not to alter or tamper with vehicle or any optional accessories. In the event of any violation of this agreement, the company automatically, without any further notice, terminates the renters right to use rental vehicle and the company retains any other rights and remedies provided by law. The company has the right to seize vehicle without legal process or notice to renter. Renter hereby waives all claims for damages connected with such seizure and shall pay all expenses incurred by the rental company in returning vehicle to the rental location. If the renter continues to operate the vehicle after the right to do so is terminated, the company has the right to notify RCMP the vehicle has been stolen. Renter and authorized drivers and passengers hereby release and discharge the company from and indemnify, defend, and hold the company harmless against any liability arising from such notice. The company may repossess the rental vehicle without demand, at renter’s expense, if the vehicle is found illegally parked, apparently abandoned, or used in violation of law or of this agreement. Renter’s failure to return the rental vehicle when specified or to properly obtain an extension of the rental may result in the vehicle being reported stolen, possibly subjecting renter and any other driver to arrest and civil and/or criminal penalties.
INSURANCE
Basic Third-Party Liability, Comprehensive, and Collision Insurance is provided during the duration of the rental under ICBC. Some credit cards and Canadian personal car insurance policies do provide rental insurance so please check with your credit card provider and personal auto insurance policy for details. Renters are responsible for the full deductible in the event of an at-fault accident or other incident.
PAYMENT
Full payment of invoice is required to confirm your booking.
DAMAGE DEPOSIT
The standard damage deposit is $500. This will be charged on your invoice prior to pickup & refunded within 14 business days after drop-off via the same method of payment.
CANCELLATIONS
Because of our very seasonal nature, our Company’s cancellation policy is as follows: 25% processing fees apply on all cancellations more than one month prior to pick up. Cancellations within 1 month of pickup will be charged 50% of the total invoiced amount. Cancellations within two weeks will be charged 75% of the total invoiced amount. If cancelled within one week of pick-up, or the Customer is a no show / unable to provide 2+ pieces of acceptable identification documentation & valid credit card information, as well as meet additional qualification terms prior to pick up or on-site, then 100% of the rental cost will apply.
LOCATION, PICK UP & DROP-OFF
Location: the vehicles pick-up and drop off location is 6873 Mart Rd, Lantzville BC.
Pick-up: the pick-up time needs to be scheduled upon booking between 2-5pm. At the time of checking in, we will do an orientation and a pre-trip inspection of your vehicle.
Drop-off: the vehicles must be returned between 8:30-11am on your return date, and the time must be scheduled before the start of the trip.
Late returns: Because the vehicle will be destined for its next rental and will need to be prepped, $150 late charge will automatically be applied to the deposit on file if not returned on time or earlier. If the rental is returned 2+ hours late, you will automatically be charged for another night.
Delivery: If you do require the van to be dropped-off and/or picked-up, that can be arranged ahead of time for $100 within Nanaimo & area. Further distances can be arranged and quoted accordingly. There are no refunds for early return.
Damages: Upon return, any damages or missing parts or items will be charged out at quoted market rates, assessed, and will come off of your damage deposit. Renter will be responsible, not dispute and will be further billed for any damages that exceed the damage deposit amount.
RENTAL PERIOD
The minimum rental period is 3-4 nights. If it appears we have openings shorter than that time period, we may approve at our own discretion. Please email us your request.
ROUTES & RESTRICTIONS
Our Company vehicles can be driven on Vancouver Island only along with the small Gulf islands. Some exceptions may apply, please contact us with any specific inquiries & desired travel routes. Driving our company vehicles must be done on paved roads or campgrounds. Any driving done on unsurfaced roads is not permitted by our company. Any deviation to this, requires written consent in email from of our company. Renter is fully liable for any damages, towing charges and other expenses that arise because of operating in restricted or unsuitable areas. The vehicle is only permitted to travel on paved roads and campgrounds.
KILOMETRE ALLOWANCE
Kilometer allowance on Vancouver Island and the small gulf islands is included with each rental.
TAXES & FEES
GST (Goods and Services Tax) and associated PST (Provincial Sales Tax) will be applied to your rental.
CLEANING FEE
A cleaning fee applies to each rental regardless of the length of the rental period. If there are stains, pet hair/fur, trash, odours or other abnormal spills, the renter will be responsible for the cost of professional detailing required, which will be deducted from the damage deposit.
PAYMENT
Our company accepts Credit Card & Paypal for rental charges and full payment is due upon booking to secure your dates.
FUEL / FLUIDS / WARNING LIGHT POLICY
The renter is responsible for fuelling up the rental vehicle with the correct type of fuel, whether gasoline or diesel. If the renter fills the van with the wrong type of fuel, renter is fully responsible for damages that occur as a result. The renter must refill or top-up the tank of the vehicle within a 10 kilometre radius of the drop-off location and present a receipt to avoid a refuelling charge. If the renter returns vehicle having not filled or topped-up the tank, the renter will automatically be billed $150 which will be deducted from the damage deposit, regardless of how full the vehicle has come back. Renter is responsible for paying attention to any warning lights on the dash and must take the appropriate action and contact the company when necessary. Renters are responsible for maintaining fluid levels during the rental period.
MECHANICAL ISSUES
Our company completes a certified mechanical and safety inspection on every vehicle each year. After each booking, our staff completes a maintenance and safety inspection which includes measuring fluid levels and checking tire pressures among many other things. In the event of any mechanical issues or accident, contact our company right away. We will do everything we can to get you back on the road quickly & safely.
ROADSIDE ASSISTANCE
Our renters are encouraged to come prepared with their own roadside assistance plan. BCAA / CAA Roadside Membership is a well-known company that offers such products and services. If a problem occurs due to usual causes of wear and tear, our company will bear all the charges. Please contact us if you have any issues.
DAMAGE / ACCIDENTS
If the vehicle breaks down or is involved in an accident due to the renter at fault, renter will bear all associated charges. Additional costs such as loss of use, diminishment of value, tow and storage fees may also applicable. If an accident occurs, a police report must be filed, and our company must be notified immediately.
SMOKING/PETS/EXCESS DIRTINESS
No smoking allowed in the vehicle. Pets only on pre-approval with an additional steam cleaning fee. Violation is subject to a minimum of $350 to maximum of $1500 cleaning charges.
SAFETY
The vehicle is equipped with a fire extinguisher, smoke & carbon monoxide detector. Should an alarm sound, please evacuate the van and take precautionary measures. Once it is safe, consider contacting our company if you require assistance.
WAIVER OF LIABILITY
You are responsible for all your personal contents that are left in the rental vehicle, always. Any theft, loss, or damage of all personal items are not the responsibility of our company, its Owners, Directors, or Employees at any time while the van is being rented or thereafter. Renters, family members and guests will hold harmless to our company, its Owners, Directors, Officers, and Employees for all liability issues or personal injuries related to the rental vehicle, its use and operation thereof.
This policy is accepted by renter, all drivers & passengers of our company upon confirmed reservation & payment.
